OpenConvey Privacy Policy
 
OpenConvey is an on-line conveyancing referral business that provides services to Mortgage Brokers and Estate Agents. On behalf of a Client, these primary users use the OpenConvey website to choose the most appropriate Conveyancer business to carry out conveyancing services.

This privacy policy sets out how OpenConvey uses and protects any information that a Client gives to Mortgage Brokers or Estate Agents who use the OpenConvey website.

OpenConvey may change this policy from time to time by updating this page. You should check this page from occasionally to ensure that you are happy with any changes. This policy is effective from May 1st 2018.

Security

OpenConvey is committed to ensuring that Client information is secure. In order to prevent unauthorised access or disclosure, OpenConvey has put in place suitable physical, electronic and managerial procedures to safeguard and secure the information collected online.

Clients

Definition: a Client is a member of the public who is represented by their Mortgage Broker or Estate Agent (the "Broker"), and who is looking for a recommendation of conveyancing services.

What personal data do we store? The Broker will enter the following personal Client data as part of the process of providing a conveyancing quotation or instructing a case to a Conveyancer: full name of Client, Client contact details (mobile and home telephone), Client home address, and full details of the Client’s property (address and postcode) requiring conveyancing services. OpenConvey does not store any data that is not required for conveyancing services.

Why do we store this data? The Clients contact and property details are stored purely for the purposes of preparing a conveyancing services quotation, and (if appropriate) to provide the instruction details for the Conveyancer to start conveyancing services

Where do we collect this data from? Client contact and property details are collected by the Broker, and will be entered into the OpenConvey system.

Where is the personal data stored ? Personal data is stored electronically. OpenConvey is a paperless business.

How we do use this information? To allow the preparation of conveyancing services quotation.

How long do we store this data for? As the Client data is used on a transient basis, OpenConvey will store the personal data (such as contact telephone details, home and property details) for a maximum of 6 months after a Clients case is either Completed, or Aborted, and indefinitely whilst a Clients case is on-going. The information about the Client will need to be retrieved regularly during the time that conveyancing services are being exercised.

Who do we share your personal data with? OpenConvey does not share Client data with any other body, except for a single Conveyancer business who has been specifically chosen as the company to carry out the conveyancing services.

Who has access to this data? The Broker who entered this information, OpenConvey website Administrators, and OpenConvey Data Controller. Access to Client data must go via Password protected connections.

How is this data deleted? Client data is deleted by the OpenConvey website Administrators.

Your rights

A Client has a number of rights relating to personal information e.g. to see what OpenConvey holds, to ask OpenConvey to share it with another party, ask OpenConvey to update incorrect or incomplete details, to object to or restrict processing of it, to make a complaint etc.

Unless we are obliged or permitted by law to do so, and subject to any third party disclosures specifically set out in this policy, your Data will not be disclosed to third parties.
